Hudson Real Estate LLC(“we,” “our,” or “Hudson Real Estate”) respects your privacy. This policy explains what information we collect when you use our website or tenant portal, how we use it, and the choices you have.
This policy covers the https://hudsonrealestatellc.com website and the Hudson Real Estate tenant portal. It does not cover third-party sites we link to, or the terms of your individual lease — those are governed by your lease agreement and Texas Property Code.
Information We Collect
Information you give us
- Contact form submissions. Name, email address, phone number (optional), and your message.
- Tenant portal accounts. Email address, full name, phone number, mailing address, and the information needed to administer your lease (property, unit, rent amount, payment history, maintenance requests).
- Payment information. Rent and other payments are processed by our payment provider, Stripe. We do not store full card numbers or bank account numbers on our servers — Stripe holds that information directly. We receive only a token reference and metadata (last four digits, payment status, timestamp).
- Maintenance request details. Description, photos you upload, and the unit the request is for.
Information collected automatically
- Server logs. IP address, user agent, pages visited, and timestamps. Used for security, debugging, and abuse prevention. Retained for a limited period.
- Authentication cookies. When you sign in to the tenant portal, we set a session cookie so you stay signed in. The cookie is required for the portal to function.
We do not use third-party advertising cookies, behavioral tracking, or analytics that follow you across other websites.
How We Use Your Information
- To operate the tenant portal — collecting rent, dispatching maintenance, sharing lease documents.
- To respond to contact-form messages and prospective tenant inquiries.
- To send transactional email — rent receipts, maintenance updates, lease renewals, account notifications. We do not send marketing emails.
- To comply with legal obligations, including Texas Property Code record-keeping requirements and requests from law enforcement when properly issued.
- To prevent fraud, abuse, and unauthorized access.
Who We Share Information With
We do not sell personal information. We share information only with the service providers that help us operate:
- Stripe — payment processing. Stripe receives payment details directly and is subject to its own privacy policy.
- Supabase — database and authentication hosting. Encrypted at rest and in transit.
- Resend — transactional email delivery (rent receipts, maintenance updates).
- Vercel — application hosting and content delivery.
Each provider is contractually limited to processing data on our behalf. We may also disclose information when required by law (subpoena, court order) or to protect the safety of tenants, property, or the public.
How Long We Keep Information
- Tenant records. For the duration of the lease and for as long as required by Texas Property Code and IRS record-keeping rules (generally at least seven years after the lease ends).
- Contact form messages. Up to two years unless an ongoing relationship extends the retention need.
- Server logs. Up to 90 days.
Your Rights
You may request access to the personal information we hold about you, corrections to inaccurate information, and deletion of information we are no longer required to keep. We cannot delete records we are required by law to retain (for example, rent ledgers and lease records under Texas Property Code).
Security
We use industry-standard security practices: TLS encryption for all traffic, encrypted database storage, and access controls that limit personal information to the staff who need it to do their job. No system is perfectly secure, but we take reasonable steps to protect your information.
Children's Privacy
Our services are directed at tenants and property owners (adults) and are not intended for use by children under 13. We do not knowingly collect information from children under 13.
Changes to This Policy
We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Material changes will be communicated to active tenants by email.
